- Don't read the spreadsheet out loud — they have their emails
- Don't solve problems live — "great question, let's connect after"
- Don't run over 30 min — honor their time = honor them
- Do screen-share the "What We Need" graphic during item #4
- Do end with prayer — vision + prayer = sent team, not just briefed team
Hey [Name],
We are two weeks out from Back to School Sunday and we are so grateful you're on the team. Here is everything you need to know about your role on August 2.
Your team: First Impressions
Led by Willie Jackson
Your shift: 9:30 AM – 11:30 AM (arrive by 9:20 to get settled)
Your one job: Every guest feels like they were expected.
When a family walks through those doors — especially a first-time family — your face is the first thing they see. Know this: you are not just greeting, you are representing Jesus to a family who may have never felt welcomed by a church before.
What this looks like in practice:
- Walk guests to their destination — never point
- Learn first names in the first 30 seconds
- Pre-registered families: have their info ready and celebrate them ("The Johnson family! We've been expecting you!")
- After service transitions to the Fish Fry — keep energy up and invite guests to stay and eat
After the Fish Fry opens at 11:15, please shift into hospitality — seat new families, introduce yourself, stay for a real conversation.
If you know a friend or family member who could fill an open greeter spot, please invite them! Text Pastor Alan directly.
See you at 8:30 on August 2. So grateful for you. 💛

Hey [Name],
Back to School Sunday is almost here and Metro Kids is going to be incredible. Here's what you need to know.
Your team: Metro Kids
Director: Katina Jackson
Katina: 8:30 AM – 12:00 PM
Jada, Zendaya, Isabel: 9:30 AM – 11:30 AM
Your one job: Every child is known, safe, and has a blast.
These families are visiting because of a superhero-themed event. Their kids' first impression of Metro Kids will shape whether they come back.
Key moments:
- Check-in opens at 9:40 AM — be at your station by 9:30
- Expect higher than normal attendance — this is a community event
- Back-to-school themed experience in the room
- Every child who comes in gets a warm, personal welcome — learn their name
- Parents pick up during Fish Fry hour (11:15–12:00) — make the handoff warm
Katina will send a separate note with the specific room plan. If you have questions before Sunday, reach out to her directly.
You are the reason families come back. We are so grateful for you. 💛

Hey [Name],
The photo booth is one of the biggest reasons families are going to show up August 2 — and your team is why it works. Here's your game plan.
Your team: Photo Booth
Photographer Lead: Ken Joseph
Your shift: 9:45 AM – 12:15 PM
Your one job: Give every family a memory they'll put on the fridge.
Roles:
- Ken: Lead photographer — camera setup, consistent framing, photo delivery to families
- Justin: Flow manager — keep the line moving, hand out props, keep the energy fun
- Rachel: Line host — hype families waiting, assist with photos, teardown at noon
- Carmen: Booth support until 11:10, then transitions to Fish Fry team
Timeline:
- Booth setup: 8:30 AM (Spider-Man inspired backdrop, props, lighting)
- Booth opens: 9:55 AM (pre-service)
- Booth pauses: 10:00 AM (during service)
- Booth reopens: 11:15 AM and runs until ~12:00 PM
- Teardown: Rachel + Justin, packed by 12:15
Special note — Terrence Mallory is our Spider-Man! 🕷️
Terrence will be in full costume and positioned at the booth. Coordinate with him on his arrival time (he should be ready by 9:45 AM). His role is to engage kids and families — the energy he brings makes your photos 10x better. Make sure he knows where to stand and how the flow works before the booth opens.
Pro tip: the families waiting in line are your warmest ministry moment. Learn their names. Ask about their kids' schools. Those conversations plant seeds.
We are so grateful for you. 💛

Hey [Name],
You are on one of the most important teams of the day — the Fish Fry crew. You are the reason families stay, eat, and connect after service. That conversation over a plate of fish might be the one that changes everything for them.
Lead: Chrissy (Crystal Christian)
Key times:
- 8:30 AM: Domenic Sr + Jr + Carmen — fryer setup, tables, staging community contribution sides
- 9:00 AM: Fryer pre-heat to 350°F, test batch
- 10:00 AM: Batch cooking during service (keep warm in foil trays)
- 11:12 AM: LINE OPENS — the second service ends, we serve
- 12:15 PM: Chrissy announces wrap and thanks families
- 12:30 PM: Full cleanup; cool fryer before breaking down
Roles:
- Chrissy: Serving line lead — opens line, coordinates team, closes
- Domenic Sr: Fryer operator — set up, cook, wind down
- Domenic Jr: Production ONLY — 100% focused on slides, visuals, and ATEM support. Not assigned to the fryer.
- Carmen: Booth until 11:10, then Fish Fry runner/server
- Monica, Regina, Penny: Seat families, make conversation, share about Metro
Important: The church is covering the fish and oil. Church family members are signing up to bring the sides, drinks, and supplies. You'll have everything you need — but confirm with Chrissy by Friday July 31 that all supplies are accounted for.
You are feeding people in more ways than one. We love you. 💛

Hey [Name],
Production makes everything feel professional — and on August 2 with new families in the room, that matters more than ever. Here's your game plan.
Justin Bentley — Audio / Tech
Shift: 8:30 AM – 11:30 AM
- Sound check complete by 9:30 AM
- Countdown video + music live at 9:55 AM
- ATEM MINI Pro livestream: go live at 10:00 AM sharp
- Upbeat music cued immediately after benediction (~11:12)
Domenic McCoy Jr — Slides / Visuals → Fish Fry
Shift: 8:30 AM – 12:30 PM (two-phase role)
- 8:30–10:00: Production — slides loaded, rotating pre-service slides at 9:45
- 10:00 AM onward: Transition to Fish Fry team (fryer assist with Domenic Sr)
- Make sure slides are fully set up and handed off to Justin before leaving the tech station
The slides rotating at 9:45 should include the Back to School promo AND a Fish Fry announcement graphic. Make sure both are loaded before Sunday.
So grateful for you both. 💛

Hey Metro family,
August 2 is one of the biggest Sundays of the year — Back to School Sunday. We are expecting new families from all over the Oakleaf community to walk through our doors for free family photos, a superhero guest, prayer over every student, and a FREE Fish Fry right after service.
We need your help to make it happen.
The church is covering the fish and frying oil. But we need our church family to bring the rest — sides, drinks, desserts, supplies, and decorations. Every item helps us serve our community well.
Items we still need:
- 🍟 Sides: hush puppies, french fries, cole slaw, mac & cheese, potato salad, baked beans, dinner rolls
- 🥤 Drinks: water bottles, lemonade, sweet tea, juice boxes for kids
- 🍰 Desserts: banana pudding, cookies/brownies, sheet cake
- 🍽️ Supplies: plates, napkins, forks, cups, condiments, tablecloths, trash bags
- 🎨 Decorators: 1–2 people to arrive at 8:30 AM and set up the decorations and photo booth (all items provided by the church — just need hands!)
Reply to this email or text Pastor Alan to claim your item. Bring everything by 9:00 AM on August 2 and label it with your name.
Exciting news: Terrence Mallory will be joining us as our special Spider-Man superhero guest! 🕷️ The kids are going to love it.
We also have open volunteer spots, including a Fryer Assistant (our Production team member had to stay focused on tech). If you know a friend or family member who would love to serve — invite them! They don't need to be a regular attender. One Sunday, eternal impact. Have them contact Pastor Alan at info@metrochurchjax.com.
This is going to be a Sunday our community remembers. Thank you for helping make it happen. 💛
